Running a community or another project based on WoltLab Suite will incur costs. Whether you pay for these alone or your members, Community Cash will help you manage those costs, make them transparent to your members, and ultimately get your members involved in the costs.

Description

This application provides you with a comprehensive cost management for your community. You can make postings to track general earnings and expenses. You can make financial demands (claims) on your members who can settle them comfortably. And you can distribute credits to your members. The usual WoltLab Suite means, such as the Wysiwyg editor and file attachments, are available to you to design the postings, claims and credits.


With regard to the currency to be used, you have a largely free hand. In fact, Community Cash lets you use multiple currencies at the same time. It should only be noted that the payment providers used support these currencies. An automatic balance between currencies is not provided. By means of a suitable choice of claims and credits, the manager could perform them manually.


Claims and credits can be created and distributed once or created as an automatically repeating action. For example, monthly membership fees can be demanded fast and easy. You can select users for your claim or credit via group permissions and various system conditions. The affected users are informed by system notifications about new claims and credits. New or open claims are also indicated by a highlighted counter in the main menu and by a note on the Community Cash overview page.


The payment of claims by the members takes basically place via the payment providers defined in the ACP. By default, WoltLab Suite already has PayPal installed. With the appropriate extension, however, others can be used; for example JCoins. In addition, members can pay by bank transfer, but this requires manual action on both sides. Last but not least, it is possible with one click to balance open claims with a credit balance that may exist. As Community Cash manager, you have the option of editing, executing or canceling user-related claims or credits at any time. And you can specify which payment methods can and can not be used.


Members access their account overview, as well as their claims and credits, directly from the main menu to quickly get an overview of their finances. If required, members can also be enabled by group permissions to view all account transactions and the current state of the Community Cash's balance and open claims. Regardless of that, there are two system boxes available that provide information about the current cash balance and outstanding claims.


Community Cash has a visible copyright that can be hidden after purchasing a paid Brandingfree package.

Getting started

Before you can use Community Cash, at least one category and at least one currency must be defined in the ACP. If you want to use payment providers of the WoltLab Suite for it, they must be activated and configured first. If transfers are to be allowed as a payment method, it is recommended to configure the bank details so that they are displayed automatically.


As a general rule, postings, claims and credits can not be deleted after they have been created, so that members can understand each action relating to Community Cash. Incorrect entries must therefore be cleared with corresponding postings, claims or credits. Due to the nature of the distribution of claims and credits, however, there is a time window in which a deletion is still possible depending on the freely selectable execution time: After creation, claims and credits are first assigned to the affected members via cronjob and then, in a further cronjob, are being delivered to members. Before executing the first cronjob, deletion is possible, after that not anymore.


Claims and credits can be changed after distribution. However, it should be noted that this may have undesirable side effects and that changes usually only take effect when resending them. For example, if you change the amount of a credit after distribution from 5.00 to 10.00 EUR, it remains from the point of view of the affected members a credit of 5.00 EUR. In order to change the amount for the members to 10.00 EUR, you must either create a new credit or change the credits individually using "User Credits" of the Community Cash main menü.


Since Community Cash is an application, it may be necessary to make adjustments to the server (rewrite / .htaccess or nginx equivalent) if link rewrite (SEO) is enabled.

Notes on Data Protection

  • This extension saves the user name and user ID of the creator in the database when creating postings, claims and credits in the frontend. Furthermore, usernames and user IDs of the affected members are stored, when sending claims or credits and when payments are made.
  • When using WSC internal payment providers, all payment details will as well be stored in the database. These are included when using the WSC GDPR export function.
  • Uninstalling the extension will erase all stored data.
